seeking a specialist on the position Administrative Assistant in
Kiev.
Mission
Provide communication and administrative support for the
efficient functioning.
Main tasks and
functions
- Manage business unit communication within and outside of the
company. Receive phone calls, correspondence, mails, and faxes,
solve the problems or address the person in charge.
- Facilitate meetings planning, preparation and conduct,
reporting minutes.
- Organize and facilitate visits of external guests (agenda,
hotel reservation, transportation, meeting room reservation,
etc)
- Organize the business trips of Business Executive Manager with
all documents necessary.
- Maintain the employees’ activity schedule (absences, holidays,
business trips, trainings). Coordinate/control information about
replacements.
- Prepare and control documents flow for invoices payment. Follow
up timely checking and signing of the invoices and track actual
payment.
- Prepare Cash and Visa Expenses reports for
expatriates.
Knowledge and Experience
profile
- Higher education;
- Work experience (in the position of administrator, personal
assistant, office manager);
- Experience of work with documentation flow, financial
documents
